Compass Coaching Online ("Compass Coaching," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our coaching services, or access our technology platforms.
This Privacy Policy applies to all visitors, users, and clients of Compass Coaching services, whether accessed through our website at www.compasscoachingonline.com, our AI platform at ai.compasscoachingonline.com, live instruction platforms, email, SMS, or other communication channels.
By using our website or services, you consent to the practices described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide to Us
We collect personal information that you voluntarily provide when you:
- Fill out a contact form or newsletter subscription form
- Request a free resource, such as our brand guide (requesting a resource by email also subscribes you to our AI Bytes newsletter, which is stated on the request form; you can unsubscribe at any time)
- Sign up for a plan on our /join page
- Register for a course, coaching session, or training
- Communicate with us via email, phone, SMS, or through our platforms
- Participate in live instruction, webinars, or events
- Use our AI platform or technology tools provided as part of your subscription
The types of information we collect this way include:
- Name
- Email address
- Phone number: this is a required field when you sign up for a plan on our /join page, so we can reach you about your account and service, and we may also receive a phone number from a Meta lead ad form you submit (see Section 1.3). Providing a phone number at signup is separate from and does not by itself enroll you in SMS messaging; agreeing to receive SMS text messages is a distinct, optional choice, described in Section 6
- Mailing address (collected during plan signup)
- Professional or business interests
- Program enrollment and tier level
- Your consent choices (for example, agreement to our terms and your SMS opt-in choice), which we record with a timestamp as an audit trail
- Information you choose to provide in inquiries or communications with us
If you join through a team seat invitation, the invite link comes to you through your employer, but the information on the signup form comes from you directly.
1.2 Payment Information
We do not collect or store payment card numbers. All payments are processed securely by Stripe, which handles your payment details under its own privacy policy. We receive confirmation of your payment and subscription status, not your card number.
1.3 Information We May Receive from Advertising Platforms
If we run lead ads on Meta platforms (Facebook and Instagram), you may choose to submit a form inside Meta's interface, for example to request our brand guide. In that case Meta sends us the information you submitted there, typically your name, email address, and phone number, so we can deliver what you requested and, where the form says so, add you to our newsletter. We treat information received this way exactly like information you submit on our own site, including your right to unsubscribe at any time.
1.4 Information Collected Automatically
When you visit our website, we and our service providers collect certain information automatically:
- Usage data through cookies and similar technologies (see Section 4)
- Campaign attribution data: if you arrive from an ad or a tracked link, the link may carry tags (utm parameters and a Meta click identifier called fbclid) that tell us which campaign brought you here. We keep these tags in your browser's sessionStorage (which clears when you close the tab) so they survive normal navigation, and if you sign up, we save them with your client record so we know which campaign led to the signup
- Standard web server logs (IP address, browser type, pages requested) kept by our hosting and delivery providers
1.5 AI Platform and Conversation Data
If you use our AI platform (available to subscribers), we collect and store:
- Conversation history between you and the AI models
- Model selection preferences
- Account usage data (for example message counts and image generation usage)
This data is stored on our privately managed infrastructure and is used solely to provide and improve the AI platform service. See Section 3 for detail on how AI-related data is handled.
1.6 Client Management Data
When you enroll in our programs, we maintain records in our client management system, including:
- Enrollment status and program tier
- Communication history (emails and SMS sent to you)
- Consent records (terms agreement, SMS opt-in) with timestamps
- Campaign attribution (which ad or link brought you to us, as described in 1.4)
- Activity and engagement tracking for service improvement
- Campaign enrollment history (for example, onboarding sequences you are enrolled in)
Our client management system runs on infrastructure we operate ourselves, not on a third-party CRM service.
1.7 Information We Do Not Collect
In connection with Compass Coaching services, we:
- Do not collect Social Security numbers or government-issued identification
- Do not collect health or medical records
- Do not collect precise geolocation data
- Do not collect or maintain carrier-specific policy details, financial account numbers, or other sensitive financial data related to your clients or customers
- Do not provide carrier recommendations or sell insurance products through this platform
Our services are educational and coaching-focused, centered on sales strategy, AI use, and digital marketing, not on transacting or servicing specific insurance products.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our coaching, educational, and technology services
- Deliver resources you request (for example, emailing you the brand guide)
- Register you for courses, programs, and live instruction
- Communicate with you about your account, registrations, or inquiries
- Send you our AI Bytes newsletter and other marketing emails (you can opt out at any time; see Section 5)
- Send a small number of reminder emails if you start a signup and do not finish it (each includes an opt-out)
- Send SMS notifications where you have opted in (see Section 6)
- Provide and maintain your access to our AI platform
- Measure the effectiveness of our advertising (see Section 4)
- Respond to your comments, questions, and requests
- Track engagement and activity to improve our services and your experience
- Maintain business records and comply with legal, tax, and accounting obligations
We do not use your personal information to make automated decisions that have legal or similarly significant effects on you (for example pricing, eligibility, or access decisions). Advertising measurement and audience tools are described in Section 4, and you can opt out of them. We do not provide your personal information to AI providers for their own purposes or to train their models; where an AI provider gives us the option, we disable conversation logging and opt out of having your data used to train third-party AI models, see Section 3.
3. AI Platform and Technology Services
Compass Coaching provides subscribers with access to a custom AI platform as part of certain program tiers. This section explains how data is handled in connection with that platform.
3.1 How the AI Platform Works
Our AI platform allows subscribers to interact with large language models (LLMs) for educational and productivity purposes. The platform is cloud-based: when you send a message, it is routed through our secure backend to the third-party AI model provider you selected to generate a response.
3.2 AI Model Providers
Depending on which model you select, your conversation content may be processed by third-party AI providers, including but not limited to Anthropic (Claude), OpenAI (ChatGPT), Google (Gemini), and other leading AI model providers offered on the platform. We do not provide your conversation content to these providers for their own purposes or to train their models. When this occurs:
- Your conversation content is sent to the selected provider solely to generate a response for you, not for the provider's own purposes
- These providers process data in accordance with their own privacy policies and terms of service
- We do not control how these third parties handle data once transmitted, though we select providers with strong privacy commitments and, where a provider gives us the option, we disable conversation logging and opt out of having your data used to train their models (see Section 3.5)
3.3 Conversation Storage
All conversations on the AI platform are stored on our privately managed database infrastructure for the purpose of providing conversation history, search, and continuity of service. Conversation data is accessible only to you and authorized Compass Coaching administrators.
3.4 AI Content Disclaimer
AI-generated content on our platform is provided for informational and educational purposes only. AI responses:
- May contain inaccuracies and should not be relied upon as professional, legal, financial, or insurance advice
- Are not a substitute for consultation with qualified professionals
- Do not represent the views or endorsements of Compass Coaching
3.5 Provider Data Handling
Navigator AI generates responses using third-party AI providers, including Anthropic, Google, and OpenAI. We do not provide your conversations to AI providers for their own purposes or for model training. The messages you send are processed by those providers under their own terms solely in order to produce a response for you, not for the provider's own purposes. Where a provider gives us the option, we disable conversation logging and opt out of having member conversations used to train their models; some models may still process inputs under their provider's default terms, and we can tell you which providers are in use on request. We do not sell your conversation data. Please do not enter information you are not authorized to share, including another person's private, financial, or regulated data, since you are responsible for what you submit.
3.6 Internal Use of AI
Compass Coaching may use AI tools for internal business operations (for example drafting communications and content development). Your information is not used to train any AI models, whether internal or external.
3.7 Free Public AI Tools
We may offer free AI tools on our website that anyone can use without an account, for example the Values Coach. These are separate from the subscriber AI platform described above. Your answers are processed by our AI service providers to generate the result you asked for and are not stored after your session ends. We do not keep the conversation, and we do not keep a copy of the document we send you. If you give us an email address to receive your result, that address is kept as a subscription to our newsletter as described in Section 1.1, and you can unsubscribe at any time. These tools are for self-reflection and education only. They are not coaching, therapy, or professional advice, and the responses are generated by artificial intelligence.
4. Cookies, Analytics, and Advertising
Our website uses cookies, pixels, and similar technologies to understand how visitors use the site and to measure and improve our marketing. This section describes each technology, what it shares, and how to opt out.
4.1 Google Analytics (GA4)
Provided by Google LLC. Uses cookies and similar identifiers to collect usage data such as pages visited, time on site, approximate location (derived from IP, which Google truncates), device and browser type, and referral source. We use this to understand traffic and improve the site. See Google's Privacy Policy and the Google Analytics opt-out browser add-on.
4.2 Meta Pixel and Meta Advertising
Provided by Meta Platforms, Inc. The Meta Pixel on our site uses cookies to measure the effectiveness of our advertising on Facebook and Instagram, to understand actions taken on our site, and to build audiences for our ad campaigns. This means certain event data is shared with Meta, including:
- Pages you view on our site
- Actions such as submitting a signup form, requesting our brand guide, or starting a plan checkout
We may also send Meta a confirmation from our server when a purchase completes, so our ads can be measured accurately even when browser tools block pixels. When we do this, your email address is protected by one-way hashing (SHA-256) before it is sent: Meta receives a scrambled code it can only match against its own user list, not a readable email address. The event also carries the order amount and currency, and nothing else identifying.
We send a similar server confirmation for other events too: page views across our site, and lead or signup form submissions such as requesting our brand guide, joining our newsletter, or starting a plan checkout. These confirmations carry your IP address, your browser's user agent, and the values of Meta's own tracking cookies on your device, known as _fbp and _fbc, which let Meta match the event to the browser that generated it. If you submit a lead or signup form and provide an email address, that address is protected by the same one-way hashing (SHA-256) described above before it is sent. No other identifying information is included.
Meta processes this data under its own privacy policy. You can control how Meta uses data about you through your Facebook ad preferences, and see Section 4.5 for broader opt-outs.
Under some state privacy laws, sharing event data with an advertising platform to improve ad targeting is called "sharing for cross-context behavioral advertising" or "targeted advertising." We want to be plain about it: we use these tools, this is what they send, and you can opt out.
4.3 Cloudflare Turnstile (Bot Protection)
Our signup and download forms use Cloudflare Turnstile to verify that submissions come from a person and not an automated bot. Turnstile processes technical signals from your browser, including your IP address, to make that determination. It is a privacy-focused alternative to traditional CAPTCHAs and does not show you puzzles in most cases. See Cloudflare's privacy policy.
4.4 Service and Delivery Resources
Our website also loads resources from third-party services to provide functionality:
- Google Fonts (fonts.googleapis.com) for typography
- Cloudflare for website delivery, security, and performance
- Netlify for website hosting and secure form submission
- unpkg.com for JavaScript framework delivery
These services may collect limited technical information (such as your IP address and browser type) through standard web request logs. We do not control the data-collection practices of these external providers, and we encourage you to review their privacy policies.
4.5 Your Choices
- Cookies: you can block or delete cookies through your browser settings. The site will still work, though some measurement will stop.
- Google Analytics: use the opt-out add-on linked in 4.1.
- Meta: adjust your ad preferences at facebook.com/adpreferences.
- Interest-based advertising generally: opt out through the Digital Advertising Alliance.
- Attribution tags (Section 1.4) live in sessionStorage and clear on their own when you close the browser tab.
- To ask us to delete attribution or marketing data tied to your record, contact us using Section 14.
We do not sell your personal information. We do share limited event and identifier data with Meta and Google for advertising measurement and audience building as described above, and you can opt out as described above. Beyond that, no third party receives your personal information for its own marketing. We do not collect sensitive client data (such as policy numbers, SSNs, or financial account details) through these website technologies.
5. Email Communications and Marketing (CAN-SPAM)
We send two kinds of email:
- Service email: account setup, receipts, delivery of resources you requested, schedule updates, and similar messages needed to provide what you signed up for
- Marketing email: our AI Bytes weekly newsletter (one practical AI move every week), plus occasional announcements about our programs
For marketing email:
- Every message identifies Compass Coaching as the sender
- Every message includes our physical mailing address: Compass Coaching Online, PO Box 37, Greenfield, IN 46140
- Every message includes an unsubscribe link. Our newsletter uses a one-click unsubscribe link that takes effect immediately, and our emails carry the standard one-click unsubscribe headers your email app can use directly
- We honor opt-out requests promptly, and in all cases within 10 business days
If you begin a plan signup and do not finish it, we may send a small number of reminder emails about completing it; each one includes an opt-out. Unsubscribing from marketing email does not affect essential service email, such as receipts or delivery of a resource you just requested.
6. SMS/Text Message Communications
Collecting your phone number and agreeing to SMS messages are two different things. As described in Section 1.1, providing a phone number is a required field when you sign up for a plan, so we can reach you about your account and service, and we treat a phone number received from a Meta lead form the same way. Agreeing to receive SMS text messages is a separate and optional choice. Compass Coaching sends SMS messages only to people who have opted in. Consent is collected in one of two ways:
- A clearly labeled SMS consent checkbox on our plan signup form, presented with full disclosure of message types, frequency, and rates, and recorded with a timestamp
- Verbal consent during a one-on-one onboarding call, documented in our client management system at the time it is given
Consent to receive SMS messages is not a condition of purchasing any service or enrolling in any program. For complete documentation, see our SMS Messaging Policy and Opt-In Disclosure.
SMS messages may include onboarding and account messages, appointment and session confirmations, course and platform updates, and customer support. Message frequency varies. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
Messages are delivered through Twilio, Inc., our messaging provider, which processes phone numbers solely to deliver messages on our behalf. Your mobile number is never sold, rented, or shared with third parties for their own marketing purposes; no third party other than Twilio receives it.
Opt out at any time by replying STOP to any message; you will receive a final confirmation and no further messages. Reply HELP for help, or contact us at [email protected] or (812) 705-3025.
7. Sharing and Disclosure of Information
We do not sell your personal information. We do not provide your personal information to AI providers for their own purposes or to train their models; when you use our AI platform, your message content is sent to your selected provider solely to generate a response, as described in Section 3. Outside of the advertising measurement described in Section 4, we do not give any third party your personal information for its own marketing.
We share personal information with service providers only as necessary to operate our business and deliver our services:
- Payment processing: Stripe
- Transactional email delivery: Resend (sends our service emails, such as welcome emails and resource delivery)
- Email and newsletter sending: Google Workspace (Gmail)
- SMS delivery: Twilio
- Course hosting and community: Skool
- Video conferencing and live instruction: Google Meet
- Website hosting, forms, and signup processing: Netlify
- Website delivery, security, and bot protection: Cloudflare (including Turnstile)
- Advertising measurement: Meta and Google, as described in Section 4
- AI platform providers: Anthropic (Claude), OpenAI, Google (Gemini), and other leading AI model providers offered on the platform (see Section 3)
Our client records, newsletter list, and automation workflows run on infrastructure we host and operate ourselves rather than on additional third-party services, which keeps the list above shorter than it would otherwise be.
These service providers are authorized to use your information only as necessary to provide their services to us. We require them to implement reasonable security measures and to protect your information in accordance with applicable laws.
We may also disclose your information:
- To comply with applicable laws, regulations, or legal processes
- To protect and defend our rights or property
- To investigate or prevent potential wrongdoing in connection with our services
- In connection with a business transaction, such as a merger, acquisition, or asset sale, subject to appropriate confidentiality protections
8. Automated Data Processing
We use automation to run our business efficiently:
- Form submissions on our website are routed automatically from our website host to our internal systems for follow-up, including our newsletter list and client management system
- Automated email sequences are triggered by events such as enrollment (welcome series) or an unfinished signup (reminder emails)
These automations do not make decisions about your access to services, pricing, or eligibility. They exist to streamline communications and administrative tasks.
9. Data Security
We adopt appropriate technical and organizational measures to help protect your personal information against unauthorized access, alteration, disclosure, or destruction, including:
- Secure transmission protocols (TLS/SSL) for all web traffic
- Encryption of data in transit between our servers and third-party services
- Access restricted to authorized personnel only
- Reputable third-party providers for hosting and payment processing
- Authentication, access controls, and token-based session management on our platforms
- Signed, verified links for sensitive actions such as one-click unsubscribe
No method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
10. Data Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, unless a longer period is required or permitted by law. In general:
- Client contact and registration data: up to 2 years after your last interaction with us
- Newsletter subscriptions: until you unsubscribe; after you unsubscribe we keep a minimal suppression record (your email address and the opt-out date) so we do not email you again
- Campaign attribution data: kept with the client record it belongs to, on the same schedule
- Transaction records (as maintained by payment platforms): periods consistent with tax and accounting requirements
- Email and SMS communication history: up to 2 years, unless needed longer for legal or business reasons
- AI platform conversation history: the duration of your active subscription plus 90 days, after which it may be deleted upon request
- Free public AI tool conversations and generated documents: not retained. The email address you provide is kept on the newsletter schedule described above.
After the applicable retention period, we securely delete personal information or de-identify it so it can no longer be associated with you.
11. Data Breach Notification
In the event of a data breach that compromises the security, confidentiality, or integrity of your personal information, we will:
- Investigate promptly and take steps to contain and remediate it
- Notify affected individuals promptly and within the timeframes required by applicable state law
- Provide details of the breach, the types of information involved, the steps we are taking, and recommendations for protecting yourself
- Notify applicable regulatory authorities where required by law
Notification will be provided via email to the address on file and, where required, by additional methods such as a prominent website notice or postal mail.
12. Your Privacy Rights
Depending on your state of residence and applicable law, you may have some or all of the following rights:
- Right to Know/Access: request the categories and specific pieces of personal information we have collected about you
- Right to Delete: request deletion of personal information we have collected from you, subject to legal and business exceptions
- Right to Correct: request correction of inaccurate personal information
- Right to Data Portability: request a copy of your personal information in a portable, reasonably usable format
- Right to Opt Out of Targeted Advertising: opt out of the advertising measurement and audience sharing described in Section 4, using the tools listed there or by contacting us
- Right to Non-Discrimination: we will not discriminate against you for exercising any privacy right
State-Specific Disclosures
Residents of states with comprehensive privacy laws, including California (CCPA/CPRA), Colorado (CPA), Connecticut (CTDPA), Virginia (VCDPA), Kentucky, and others, may have additional rights under their laws. If you are a resident of one of these states and wish to exercise your rights, contact us using Section 14 and we will process your request in accordance with applicable law. We do not sell personal information; our sharing of data with advertising platforms is limited to the measurement and audience uses described in Section 4, and you may opt out.
How to Exercise Your Rights
Contact us using the information in Section 14. We may need to verify your identity, which may involve confirming information we already have on file. We will respond within 45 days, or any shorter period required by law; if more time is needed, we will notify you. If your state gives you the right to appeal our decision, our response will explain how.
13. Children's Privacy
Our services and website are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child under 13 has provided personal information to us, contact us immediately (Section 14) and we will promptly review and delete it.

15. Additional Service Terms
Coaching Services
Compass Coaching provides educational coaching and training services. Coaching content is educational in nature and does not constitute professional financial, legal, tax, or insurance advice. Results vary based on individual effort, market conditions, and other factors; outcomes are not guaranteed, and you are responsible for your own due diligence and for consulting qualified professionals on specific financial, legal, or regulatory matters.
Session Recordings
Live coaching sessions, group calls, and webinars may be recorded to provide replays for enrolled participants and for internal quality improvement. Participants are notified at the start of a recorded session; continuing to participate after notification constitutes consent. Recordings are stored securely, accessible only to enrolled participants and authorized team members, retained for the duration of the relevant program cycle, and may be deleted thereafter. If you prefer not to be recorded, turn off your camera and microphone or contact us for alternatives.
Insurance Scope
Through this coaching platform we do not sell, solicit, or negotiate insurance products, do not recommend specific carriers or products, and do not collect or maintain your personal policy details or financial account information. Any sample insurance scenarios in our training are illustrative only.
Third-Party Links
Our website and materials may link to third-party sites. We are not responsible for their privacy practices; their own policies govern any information you provide there.
International Processing
Our services are directed to users in the United States and our infrastructure is hosted in the United States, but certain providers (cloud AI providers, CDNs, payment processors) may process data on servers located elsewhere. By using our services you acknowledge that your information may be processed in jurisdictions with different data protection laws; we take reasonable steps to protect it wherever it is processed.
Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices, services, or legal requirements. When we make material changes we will post the updated policy at www.compasscoachingonline.com with a revised Last Updated date and, for significant changes, provide additional notice by email or a prominent site notice. Continued use of our website or services after an update constitutes acceptance.
